The Position
We are looking for a highly organized, proactive, and results-oriented professional to take on the role of Junior Office Manager. This key position is crucial for the smooth operation of our office and provides essential support across finance, marketing, and HR functions.
The successful candidate will manage a wide range of administrative and operational tasks, ensuring both the office environment and business processes are optimized for maximum efficiency and effectiveness.
Your Role
Office Management
- Oversee daily administrative operations, including mail handling, office supplies procurement, and coordination with service providers.
- Manage office facilities, ensuring maintenance, health and safety compliance, and sustainability reporting (CO2 emissions, biannual office reports).
- Organize logistics for internal events, onboarding sessions, and corporate activities.
- Act as the main IT liaison, managing office devices, phone subscriptions.
- Administer corporate mobility programs and track company vehicle contracts and expenses.
- Maintain internal databases (Alumni, CRM, suppliers, internal contracts) and ensure compliance with firmwide procedures.
- Oversee insurance plans (group, hospitalization, workplace accident) and employee well-being initiatives.
- Supervise time tracking, ensuring compliance with reporting requirements.
- Assist with agenda management and arrange travel for the Country Leader/Managing Partner.
Talent Acquisition & HR (in partnership with HR Manager)
- Prepare employment contracts and manage HR documentation.
- Support recruitment efforts by updating candidate databases and coordinating selection processes.
- Oversee contractor management.
- Coordinate employee onboarding.
- Track and manage employee absences, leave, and training records to ensure accurate payroll data.
- Plan and coordinate employee engagement activities, such as CSR initiatives and team-building events.
- Collaborate with HR and legal to maintain and update office policies as necessary.
Finance
- Serve as the primary liaison with the France finance department, addressing inquiries and ensuring seamless coordination.
- Review, approve, and process invoices for suppliers and contractors, ensuring accuracy and timely payments.
- Manage vendor contracts, oversee office services budgets, and track financial obligations.
Your Profile
- Proficiency in French, Dutch and English.
- 1 to 5 years' experience as a Junior Office Manager, HR/Executive/Management Assistant or equivalent position.
- Strong multitasking abilities with a keen attention to detail.
- Strong learning attitude, able to acquire new skills quickly.
- Views challenges as opportunities for growth and swiftly identifies solutions.
- Well-organized and structured approach to tasks.
- Proactive and able to work autonomously.
- Ability to manage emotions constructively in challenging situations.
- Proficiency in IT Tools: Soft and Hardware (e.g., MS Office suite (in particular: Excel, Outlook, PowerPoint) and Hardware Management).
- Financial acumen and experience with financial reporting and invoicing.
- Experience in Marketing and Payroll are an asset.
